Job Summary

We are looking for a dynamic Reservations Manager to manage the booking process, handle guest communications, coordinate with internal teams, and ensure optimal flight occupancy. Stationed in Arusha, the candidate must balance a passion for hospitality, an eagle eye for detail, and exceptional organisational skills, managing bookings and coordinating with our team to ensure each flight is an unforgettable adventure. This role requires a customer-first mindset and the ability to thrive in a fast-paced, adventure-driven environment.
 

What You’ll do: 

  1. Manage guest bookings: Handle reservation inquiries, confirmations, cancellations, and amendments with exceptional efficiency and flair.

  2. Create personalised itineraries: Work closely with guests to customise their balloon safaris, ensuring each experience is tailored to their unique needs.

  3. Guest Experience: Ensure every client feels welcomed, understood, and well-prepared for their ballooning experience, providing prompt responses to enquiries and personalised recommendations. 

  4. Maximise occupancy: Keep a close eye on availability and ensure flight bookings are managed with accuracy,  while maintaining a top-tier guest experience.

  5. Operational Coordination: Work in sync with operations to align booking schedules and ensure a smooth and seamless customer experience.

  6. Customer service: Be the go-to person for our guests, handling enquiries, complaints, and  special requests with a friendly, solution-focused attitude.

  7. Data & Reporting: Maintain accurate records of all bookings, payments, and client communications while generating reports to improve efficiency and guest satisfaction.

  8. Liaise with internal teams: Work closely with our sales, marketing, operations, and accounting teams to ensure smooth communication and the highest standards of service.
     

Mandatory Skills and Qualifications

  • Bachelor’s degree in Business, Marketing, or Tourism (MBA highly preferred). 

  • Minimum of 5-7 years of reservations management, preferably in adventure tourism, hospitality, or travel sectors.

  • Proven experience in delivering high-quality customer service.

  • Proficiency in working with reservation systems / softwares. 

  • Proven ability to manage multiple bookings and administrative tasks with precision.

  • Familiarity with the Tanzanian tourism landscape, particularly the Serengeti and hot air ballooning is highly desirable.
